Overview and Background

Since 1995, Appalachian Sustainable Development (ASD) has been working to further our mission to build a thriving regional food and agriculture system that creates healthy communities, respects the planet, and cultivates profitable opportunities for Appalachians.

Position Description

The Program Coordinator will work closely with the FARM Program Manager, the Agroforestry Procurement Manager, Agroforestry Program Director, and the Appalachian Harvest (AH) Food Hub Staff to aid in veteran recruitment and outreach, oversee daily operations of the AH Herb Hub and assist with day-to-day operations of the AH Food Hub. This position will also be responsible for managing our Healthy Families-Family Farms (HFFF) program along with serving as a lead for the Virginia Fresh Match (VFM) program.

Responsibilities

AH Food and Herb Hub

  • Work with FARM Program Manager and AH staff to plan and execute veteran-specific training events and serve as the liaison for farmer veterans who participate in trainings and other events hosted by AH.
  • Assist military veterans with understanding processes at the food and herb hub.
  • Track important metrics for quarterly reporting requirements
  • Work with Facility Manager to ensure the facility and all equipment are in top working order.

Herb Hub

  • Inspect and receive incoming medicinal herbs, in accordance with facility regulatory compliance of Organic, Forest Grown Verified, and Good Agricultural Practices standards and buyer specifications for various species.
  • Train farmers on how to safely and properly use herb processing tools and equipment, in accordance with facility regulatory compliance and buyer specifications for various herbs.
  • Execute herb processing procedures (e.g. analyzing and maintaining herb moisture content, packaging, weighing, shipping, maintaining digital records and inventory, cleaning and sanitizing equipment, etc.)
  • Maintain and fix malfunctioning equipment as needed.
  • Scheduling, coordinating, and supervising facility rental time and availability with clients and AH staff.

Healthy Families – Family Farms (HFFF)

  • Serve as manager for this program
  • Work with community members such as food pantries and volunteers to ascertain needs, identify joint funding opportunities, create long-term plan, etc. Build new partnerships and get the word out about our food equity programming. Identify partners who are not at the table, particularly those who serve communities of color or other disadvantaged population segments.
  • Assist Director of Communications and Development and Grant Writer with HFFF-focused fundraising efforts
  • Assist the AH team and CEO in creating a five-year strategic plan for HFFF work that aligns with ASD’s five primary goals, including identifying the metrics that drive this program.
  • Work closely with DOT Compliance Manager and AH staff to plan and execute logistics

Virginia Fresh Match

  • Serve as SWVA regional lead for Virginia Fresh Match (VFM)
  • On-board new markets to VFM program
  • Manage nutrition incentive reimbursement to markets
  • Ensure markets report timely and accurately
  • Build awareness of nutrition incentive program in the region by working with businesses, social services, farmers markets, food pantries, etc.

Virginia Farmers Market Association (VAFMA)

  • Serve as SWVA regional lead for VAFMA
  • Promote/support SWVA farmers markets as needed

Other Programming

  • ASD is continually looking for ways to add value to our communities. Other projects, particularly in the food access sector, may arise. The CEO and Appalachian Harvest Facility Manager will work with the Program Coordinator to determine whether it is appropriate/possible to take on additional roles as they become available.

Requirements

Preferred Qualifications

  • History of teaching or training in one-on-one settings
  • Familiarity and experience in forest farming, herb farming, and plant identification
  • Familiarity and experience with certified organic and food safety standards
  • Familiarity and experience with herb processing/post-harvest handling
  • Basic carpentry and plumbing experience

  • Driver’s license required. Ability to deliver shipments and purchase supplies as needed.

Hourly or Salary

  • Full-time hourly position at $15-16/hour

Working Conditions

  • Frequent lifting; up to 50lbs. Ability to walk and stand for up to 8 hours. Ability to operate a forklift is a plus.

Position Description
The Operations Coordinator will provide administrative, operational, financial, and clerical support to the Operations team to help ensure accuracy and efficiency. This is a skilled and responsible operations position requiring attention to detail, communication skills, and ability to work with minimal supervision and be a team player.

Responsibilities
Data Entry:

  • Financial data entry – Credit Cards, A/R and A/P data entry
  • Inventory control software – Use software to create invoices for buyers and vendors, run reports as needed.
  • Electronic file maintenance

General Administration:

  • Phone System – Answer phones and direct calls to the appropriate person, ensure voicemails are returned and messages are delivered promptly.
  • Mail – Retrieve mail, date, sort and deliver to the appropriate person.
  • Calendar maintenance – Maintain the ASD general calendar, report due dates, and the CEO’s calendar.
  • Schedule meetings – Staff meetings, board meetings, and others as directed. Plan dates/times, locations, seating, meal/snacks, etc. Schedule conference bridge or other electronic needs for the meeting. Take minutes at all meetings, distribute as needed.
  • Maintain office supplies – Inventory maintenance, request from staff, order and sort supplies upon delivery.
  • Filing – general filing of financial and grant documents.
  • Manage utility accounts including wireless accounts.

IT:

  • Data management – organize existing files on the server, and maintain company electronic and hard copy documents in an organized manner.
  • Computer administration – oversight of IT contracted provider, submitting tickets for trouble issues, setup for new employees, management of equipment, reset passwords, etc.
  • Software management – assess company needs and assist with research and finding resources to meet those needs.
  • Website platform and maintenance – assist with updates to the website and manage the calendar of events.
  • Equipment purchases – compare prices and find equipment for new employees or replacement devices as necessary.

Volunteer Management:

  • Manage the volunteer list, solicit volunteers for assistance with fundraising events, newsletter preparation and distribution and other fundraising activities.

Other:

  • ASD is continually looking for ways to add value to our communities. Other duties across the company may arise. The Operations Team will work with the Operations Coordinator to determine whether it is appropriate/possible to take on additional roles as they become available.

Requirements/ Qualifications

  • High school diploma required, Associate’s degree preferred.
  • 2 years experience in administrative assistant or executive assistant role preferred.
  • Experience working for a non-profit or familiarity with grants preferred.

ASD’s Appalachian Harvest Food Hub in Duffield, VA provides support, training, aggregation and distribution support to markets for regional farmers.  Since 2000, farmers have sold more than $16 million dollars of fruits and vegetables to wholesale retailers. 

All drivers must have:

  • 2 years over the road experience
  • Hold a Class A CDL
  • Ability to pass required drug screen
  • A good driving record

Member Duties : The Groundwork Entrepreneurial and Capacity Building VISTA will help expand ASD’s new workforce development program by generating program awareness among all stakeholders as well as the overall community. This involves cultivating an online presence for the program by creating and publishing original written and video content that can be used on the Groundwork website and shared with partners for publication. The VISTA will also help increase capacity of the program by building a network of volunteers and subject-expert trainers. This involves designing and organizing events on the ASD grounds and in the greenhouse that promote health among targeted populations and expand interest in agriculture among the community. It also involves recruiting and managing volunteers to deliver training and mentorship to Groundwork participants and members of the community in general. This VISTA will also help develop a social enterprise model.

Appalachian Sustainable Development’s Groundwork workforce development program is seeking to hire four applicants experiencing barriers to employment. This is a paid, on-the-job training for five  months with a focus on transferable skills. Learn the basics of growing, harvesting, and marketing vegetables and cut flowers. Explore small business management and community garden organization. Training on essential skills like teamwork and problem solving is provided, as well as personal support in financial literacy, career development, and more.

  • Maintenance at FIA garden (mowing, infrastructure repair, shed clean-up/organization)

  • Spraying organic/natural pesticides as needed

Tentative Schedule (TBD at hiring, but will include):

  • Abingdon Farmers’ Market (Saturday 9a-12p)
  • Online coursework: Monday (4hrs) or Wednesday

Duration of program: 5 months, 36hrs/week, $10/hr

Please Note:

Training on food safety and strict adherence to all food safety rules is required!

All Associates must wash their hands before handling products, must wear gloves while handling products, must have hair pulled completely back away from face and off the shoulders or wear a hat while packing products.

All associates must wear closed-toe shoes or boots in the garden.

As worksites and schedule may vary day-to-day, flexibility and patience are much appreciated. Reliable personal transportation is also preferred but not required.

Please be able to commit to the full five month program; options for an extended 6-month program exist.

 

The total cost of the Groundwork workforce development program is $1,028,751. $853,456 (83%) of this program is funded through a U.S. Department of Labor–Employment and Training Administration grant. $175,295 (17%) of this program is funded through an Appalachian Regional Commission—Sprouting Farms grant. The program receives $0 (0%) in non-federal funding. The Groundwork workforce development program is fully funded (100%) by federal grants
